I have a question regarding this sentence. "When we spoke, you have shown interest in our system and we discussed the need for our system in your agency." Am I using the proper tenses?

Almost. Here is the corrected version:
When we spoke, you showed interest in our system, and we discussed the need for our system in your agency.
You need to use the same tense for "spoke", "showed", and "discussed" because all 3 actions happened at the same time.
