Dear Teachers,
I am very much confused to write a simple letter. Could somone help me please?
Letter is as follows:
Dear Sir,
In reference to your fax dated 10/12/2005 we would like to inform you that we have mentioned clearly in our earlier correspondence that we have not approved the inspection charge which was included in your Invoice # 005 for $ 2,500/- dated 10/10/2004.
Hence please issue a new invoice for $ 10,000/- instead of $ 12,500 and collect the cheque.

Note: I am confused that where should I write past tense and where past perfect.

Sweetie:
Here is how I would write the letter:
"Dear Sir,
In reference to your fax dated 10/12/2005, we would like to remind you that we mentioned clearly in our earlier correspondence that we have not approved the inspection charge, which was included in your Invoice # 005 for $ 2,500/- dated 10/10/2004.
Hence please issue a new invoice for $ 10,000/- instead of $ 12,500 - and accept this reduced amount as payment in full.
